Terms of service
Version 3 — 2026-09-29. This version describes exactly what the app does today.
These terms are an agreement between you and HomeItemFinder ("we"). By creating an account or using the app, you accept them. Please also read the privacy policy, which explains how your data is handled.
The service
The app is an inventory for a home, a move or a stock: you create projects, and inside them boxes, items, photographs, locations and people, and you can print labels with QR codes and write NFC tags to find things again. You can share a project with other people. The app can suggest a description, a category, a colour, a brand, notes and attributes for an item from its photographs, using an artificial intelligence provider, if you switch that on.
The app works offline and keeps a copy of your projects on your device; changes are sent to the server when there is a connection.
Your account and two-step verification
You need an account with an email address and a password. Two-step verification with an authenticator app is optional, and we recommend it. If you turn it on, you are then required to use it: from that point your password alone no longer opens the account. It stays mandatory for the people who administer the platform and for accounts on business plans. Because for everyone else the password on its own can be enough, an account without two-step verification is protected in other ways: your session ends after five days without use, and after thirty days in any case; you receive an email when a new device signs in to your account; and you have to type your password again to turn two-step verification off, to change your email address, to change your password, to delete a project, to close your account and to export everything. When you set two-step verification up you receive recovery codes. Keep them somewhere safe. If you lose the authenticator app, one of your recovery codes lets you set up a new one, on the two-step verification recovery screen when you sign in.
If you lose both the authenticator app and the recovery codes, the app offers no way to get back in by yourself: write to privacy@HomeItemFinder.com. We confirm your identity before restoring access. The change is recorded, your old recovery codes are deleted, and you receive an email saying that a verification method was removed from your account. You then set up a new authenticator app.
Your password must not appear in known data leaks; the app checks this when you set it. Without two-step verification it is the only thing between another person and your inventory, which is why that check is strict. You are responsible for keeping your password, your authenticator app and your recovery codes to yourself, and for what is done with your account.
You must be at least 16 years old to have an account.
Shared projects, invitations and roles
The person who creates a project is its owner. An owner can invite other people by email, choose their role, change roles and remove members. The last owner of a project cannot be removed or demoted.
- An editor can create, change and delete boxes, items, photographs, locations and people, and record scans.
- A viewer can see the project but cannot change it. A viewer's reading of a box's code is still recorded in the box's history.
An invitation link works for seven days, and the invitation can be ignored. The email tells the invited person who invited them, which project, and which role. The members of a project can see each other's display names. When someone acts in a project, their display name is recorded in that project's history and stays there.
Your content
Everything you put in a project — text, photographs, addresses, names — is yours. We do not claim any rights over it. We process it only to provide the app to you and to the other members of the project, and we never read it for any other purpose. The administration portal never shows the content of projects; direct access to the database and to the backups exists only for maintenance and restore, and is limited to the people who operate the app.
You are responsible for the content you add, including photographs of other people's belongings and the names of other people you write into a project. Do not add content you have no right to add.
When you use the AI suggestions, the item's photographs and the text you wrote about it are sent to the provider, as described in the privacy policy. That feature is off by default and you decide whether to use it.
Plans and limits
The app has plans. A plan sets limits — how many projects you can have and, in each project, how many boxes, items and people, how much space for photographs, how much use of AI, and for how long the data stays editable —, which features are available (for example, export) and which kinds of project it serves. There is no cap on the number of photographs, only on the space they take. The current plans and their limits are shown in the app.
When a limit is reached, the app stops the action that would go over it and tells you; nothing already saved is lost. Above a limit you can still change and delete, but not add. The validity of a project's data is counted from the day the project was created. When it ends, the project becomes read-only: you can read it, export it if your plan includes export, and delete things, but not add or change. When a paid plan ends, the project goes back to the free plan: nothing is deleted, and above a limit of that plan you can still change and delete, but not add. A project's kind (move, stock or space inventory) is chosen when it is created and cannot be changed afterwards.
This version of the terms says nothing about prices, payments or refunds. A later version will, and you will be asked to accept it.
What you must not do
- Use the app to store content you have no right to store, or that is illegal.
- Try to read or change projects you are not a member of, or to guess other people's codes, invitations or accounts.
- Overload the service with automated requests, or try to get around the limits and protections of the app.
- Share your account, or let someone else use your two-step verification.
- Scrape, copy or resell the service.
If you break these rules, we may suspend or close your account.
Availability and backups
We do our best to keep the app available, but we do not promise that it is never interrupted. We take an encrypted backup of the database and of the photographs once a week. A backup is a safety net for a failure on our side, not a personal archive: what you delete is not restored from a backup at your request.
Because the app works offline, changes made without a connection stay on your device until they can be sent. If the server refuses a change (for example, because of a plan limit), the app tells you and keeps the change waiting.
Ending your account
You can stop using the app at any time. Closing an account is not yet available inside the app: ask us at privacy@HomeItemFinder.com and we will close it, as described in the privacy policy. Closing your account does not delete any project. Before you ask, delete in the app the projects you want gone; the projects you share stay with the other members.
We may close an account that breaks these terms, or that the law requires us to close. Where possible, we tell you beforehand.
Changes to these terms
This is version 2. When the terms change, you will be shown the new version and asked to accept it before continuing to use the app. Each version carries its date.
Governing law
These terms are governed by Portuguese law and by the General Data Protection Regulation (GDPR). Any dispute is submitted to the courts of Portugal, without prejudice to the rights you have as a consumer under the law of the country where you live.
